1. About This Policy
This Privacy Policy explains how Nihongo Renshuu ("we") collects, uses, shares, stores and protects your personal data when you use nihongorenshuu.com and related services (the "Service").
Nihongo Renshuu is the data controller for the personal data processed for the Service.
This Policy forms part of the User Agreement. Terms defined in the User Agreement have the same meaning in this Policy.
2. Data We Collect
Data you give us:
- (a)Account data: name, email address and password. Passwords are stored with one way encryption, so nobody can read them, including us.
- (b)Profile data: your profile photo and other profile details you fill in.
- (c)Settings: language, display, study goal and other preferences you choose.
- (d)Your content: posts, comments, reactions, group messages and polls, notebooks and other content you create in the Service.
- (e)Transaction data: plan, price, credits, voucher, total, status and time of purchase, plus the information needed to process or verify your payment. If a payment provider processes your payment, your card or account details are handled by that provider, and we do not store full card numbers.
- (f)Communications: messages and attachments you send to our support team.
Data recorded while you use the Service:
- (a)Learning activity: lesson progress, practice and test results with your answers, flashcard review history, study time and daily activity records.
- (b)Account security data: sign-in and sign-out times, sign-in attempts, IP address, browser and device type, a device identifier, and when and where in the Service you were last active.
- (c)Server logs: IP address, time, requested page address and browser type. Words you search in the dictionary may appear in these logs because they are part of the page address.
- (d)Email records: records of the service emails we send you.
Data that is processed only briefly:
- (a)Voice input. Depending on your browser, speech recognition may be done by the browser's built-in feature under its provider's policy, or by our systems. Recordings we receive are used only to turn speech into text and are not stored.
- (b)Handwriting and images you send to the dictionary are used only to read them as text and are not stored.
- (c)Text you translate is processed to produce the translation. Results may be kept briefly, not linked to your Account, so they load faster.
We do not collect your precise location or contacts. We do not ask for sensitive personal data such as health, biometric or belief data. Please do not share such data in the community.
If you sign in or link your Account through a third party service, where available, we receive data from that service, such as your name, email address and profile photo, as you allow there.
4. Legal Bases
We process personal data on the following bases:
- (a)Performance of our agreement with you: creating and managing your Account, providing learning features, processing purchases and sending service emails.
- (b)Your consent: profile photo and details, community content, public content, sharing statistics in groups, voice and image input, and processing children's data with the consent of a parent or guardian.
- (c)Legal obligations: keeping transaction records and responding to lawful requests from competent authorities.
- (d)Legitimate interests: keeping Accounts and the Service secure, preventing abuse and fraud, and improving the Service, while respecting your rights and interests.
5. How We Use Data
We use personal data to:
- (a)provide the Service and tailor it to you, for example saving progress, scheduling reviews and learning recommendations, and showing study reports;
- (b)manage your Account, email verification, password recovery and changes to Account details;
- (c)process purchases, vouchers and renewals;
- (d)run community features;
- (e)keep things secure, including session and rate limits and handling breaches of the rules;
- (f)answer your questions and requests;
- (g)improve and develop the Service with aggregated data; and
- (h)comply with the law.
We send emails about your Account and the Service. For promotional emails, we will ask for your consent first and give you a way to unsubscribe.
We do not sell or rent your personal data to anyone.
6. What Others Can See
- (a)Other Members can see your name, photo and profile details, what you share in the community, and your activity in groups you belong to, including messages, reactions, poll choices and study rankings, unless you switch off statistics sharing.
- (b)Group managers can see join requests and their notes.
- (c)Anyone can see content you make public, such as public notebooks, with your name as its creator. You can make it private again at any time.
- (d)Nihongo Renshuu admins can see Account, transaction, activity and security data, only for support, payment verification, security and enforcing the User Agreement. Admins must keep this data confidential.
Community features cannot be seen by Visitors without an Account.
8. International Data Transfers
The Service is used by people in many countries, so your data may be stored and processed in a country other than the one where you live. When that happens, we make sure your data keeps an adequate level of protection under the applicable law, and we ask for your consent where required.
9. Retention
| Data | How long we keep it |
|---|---|
| Account, profile, settings and learning activity | As long as the Account exists |
| Sign-in history and security data | As long as the Account exists, deleted with the Account |
| Community content and notebooks | Until you delete them or the Account is deleted |
| Transaction data | As long as the Account exists. Records that tax and bookkeeping rules require us to keep may be kept separately until that obligation ends |
| Server logs | For a limited time, at most 30 days |
| Dictionary voice, handwriting and image input | Not stored |
When an Account is deleted, its data is removed from our active systems. Study groups you manage may pass to another member so they keep running. Backup copies are erased in the normal backup cycle and used only to restore the system.
10. Data Security
We apply reasonable technical and organisational measures to protect personal data, including encrypted connections, passwords stored in a form that cannot be read, session and form protection, restricted access and security monitoring.
No system is completely secure. If a personal data breach puts you at risk, we will notify you and the competent authority within 72 hours of becoming aware of it. The notice will state the data affected, when and how it happened, and the steps taken to handle it and recover.
Protect your Account with a strong, unique password and never share verification codes with anyone.
11. Your Rights
You have the following rights over your personal data:
- (a)information about how your data is processed, as set out in this Policy;
- (b)complete, update and correct your data;
- (c)access your data and obtain a copy;
- (d)end processing and have your data deleted;
- (e)withdraw consent you have given;
- (f)object to decisions based solely on automated processing, including profiling, that have legal or similarly significant effects on you;
- (g)delay or restrict the processing of your data;
- (h)receive your data in a common, machine readable format and send it to another controller; and
- (i)complain about, or claim compensation for, unlawful processing of your data.
Some rights you can exercise yourself in your Account settings, for example changing your name, photo, email and password, deleting your content, or making public content private.
For other requests, email [email protected] from your Account email with the subject "Personal Data Request". We may ask you to confirm that the request really comes from you. We act on it within 72 hours after verifying your identity, free of charge.
We may refuse or delay part of a request where the law allows, for example for law enforcement or where we must still keep the data. We will tell you why.
The law of your country may give you additional rights. We will respect those rights.
12. Children's Data
Accounts are only for Users aged 13 or older, or any higher minimum age set by the law of their country. Personal data of Users who are minors under the law of their country is processed with the consent of a parent or guardian. By creating an Account, a minor confirms that this consent has been obtained.
Parents and guardians may contact us to access, correct or delete their child's data.
We do not knowingly create Accounts for children under 13. If we learn of one, we will delete the Account and its data.
We encourage Users who are minors not to share personal information such as their address, school or phone number in the community.
13. Automated Processing
The Service uses automated rules to support learning, such as review scheduling, recommendations, unlocking learning stages and scoring practice. These rules have no legal effects on you.
Automated security measures may temporarily refuse a sign-in or the use of a feature. You can ask for a review by an admin at [email protected].
14. Third Party Services
The Service may include embedded content and links to third party sites. Their privacy practices are governed by their own policies, not by this Policy.
15. Changes to This Policy
Because the Service keeps developing, we may update this Policy as the Service or the law changes. The effective date at the top of this page shows the latest version.
For material changes, we will notify you at least 14 days before they take effect, through the Service or by email. If a change needs new consent, we will ask for it first.
This Policy is available in several languages. If the versions differ, the English version prevails.
